Description
My client requires a Project coordinator Administrator for general administration duties. This will include updating of spreadsheets and databases and will require good communications skills via email and telephone.

This is a full-time temporary position from 2nd December 2018 until 31st May 2019 (Open to extension) Paying 8.41p/h

Main Duties

- Maintain the integrity of the various reporting systems (MiWorld, Excel, Merlin, Vision FM etc.) and ensure the data is robust and fit for reporting purposes.
- Support Project Managers/Supervisors in facilitating the delivery of timely project documentation.
- Provide day to day operational support (e.g. raising jobs, POs, PNs etc.) ensuring they are correctly authorised
- Assist Project Managers/Supervisors with updating the project tracker form through the life of projects.
- Administration of project documentation including engineering schedules such as asset lists and technical drawings.
- Provide day to day operational project support to enable financial control.
- Undertake property alignment checks and update MiWorld accordingly.
- Inputting hours and processing timesheets
- Support the Project Managers/Supervisors by attending meetings/conference calls, take/produce minutes etc.
- Collate, monitor and record annual leave and sickness records
- Assist programme managers in all duties to ensure smooth running of programmes
- To attend and fully participate in training and appraisal activities as required
- Provide cover for other team members as needed / requested by the Head of Capital Projects.



Person Specification

- Customer care/relationship building skills.
- Holds relevant professional qualifications / certificates (e.g. Microsoft or equivalent) or has relevant administrative experience.
- Has experience of financial / project analysis, reporting & control.
- Has experience in a services / facilities management business.
- Strong Excel skills.
- Able to communicate & present reports clearly & professionally.
- Proactive, able to work independently & as part of a team.
- Well organized, with an eye for detail, able to meet deadlines.
- Able to adapt and respond positively to change.
